Information for conference speakers

Conference contribution with full paper

Each participant will receive a digital version of the conference proceedings for the event. This summary of all conference contributions serves as a working basis and reference work for the participants. The proceedings of the EMV conference do not have an ISBN number, however, the individual contributions will be provided with DOI numbers approx. 2 months after the event and added to the repository of the Technical Information Library (Open Access) and are therefore citable.

Attention: Product presentations of any kind are not permitted. Accordingly, the documents must also be designed in a company-neutral manner. 

  • For processing we need your final full paper as an unprotected PDF document (max. 10 MB).
  • Please use the full paper template in Word, LaTeX- or Overleaf
  • The full papers are checked by the committee for up-to-dateness, comprehensibility, advertising-free content, etc.
  • Please understand that papers submitted late may not be included in the conference proceedings.
  • We will forward your full paper to the publisher without any further corrections. 
  • Problem and process description

  • New approaches and key messages
  • Test results, areas of application and practical relevance
  • Conclusions and outlook 
  • Min. 4 to max. 8 DIN A4 pages
  • No page numbers, the pagination is done by the publisher

Conference contribution without full paper 

Each participant will receive a digital version of the conference proceedings for the event. This summary of all conference contributions serves as a working basis and reference work for the participants. In the case of contributions with a full paper, the paper will be included in the proceedings. In the case of contributions without a full paper, only the abstract that we received from you as part of the call for papers will be included in the proceedings.

Attention: Product presentations of any kind are not permitted. Accordingly, the documents must also be designed in a company-neutral manner. 

Presentation on-site 

You have 20 minutes for your presentation and 10 minutes for discussions / questions. If your lecture time has expired, the session chair is entitled to cancel your presentation. 

You are welcome to use our presentation template. This is already adapted to the format 16: 9. Important: Please send us your presentation by 6 March 2026 via email to sabrina.esposito@mesago.com. We will prepare this for you on the notebook in the lecture room. To be safe, please also bring your presentation slides on a stick with you to your presentation. 

All speakers are asked to meet with their session chair in the lecture room 30 minutes before the start of the session for a brief preliminary discussion and preparation. The room number will be announced in the conference program. 

All rooms are equipped with a laptop, projector, and microphone.

Information for poster speakers

Posters with Full Paper

Participants will receive a digital version of the conference proceedings, which provides a comprehensive overview of all contributions. These proceedings serve as a valuable reference and working resource. Although the EMV conference proceedings do not carry an ISBN, individual papers will be assigned DOIs and published in the open access repository of the German National Library of Science and Technology (TIB) approximately two months after the event, making them citable.

Important note: Product presentations of any kind are not permitted. Please ensure that your materials are company-neutral and do not reference specific products.

  • To process your submission, we require your completed full paper as an unprotected PDF document (max. 10 MB).
  • Please make sure to use the official Word, LaTeX- or Overleaf template for preparing your manuscript.
  • All full papers will be reviewed by the committee for relevance, clarity, non-commercial content, and similar criteria.
  • Please note that papers submitted after the deadline may not be included in the conference proceedings.
  • Your submitted full paper will be forwarded to the publisher without further editing or corrections.

  • Conclusions and outlook
  • Minimum length: 4 pages; maximum length: 8 pages (A4 format)

  • Figures and graphics must be numbered consecutively and placed within the text at the appropriate location

Posters without Full Paper

Participants will receive a digital version of the conference proceedings, which includes a complete summary of all contributions. Contributions with a full paper will be fully published in the proceedings, while contributions without a full paper will only include the abstract submitted during the Call for papers. These proceedings serve as a valuable reference and working resource for participants.

Presentation on-site

The poster session will take place on Tuesday afternoon for 60 minutes during the exhibition, offering an excellent opportunity to present your work to a wide audience. All visitors, exhibitors, and conference participants will have access to this session. During this time, you can present your research at the poster boards and engage directly with interested individuals. The exact time will be published in the program. Please note that no other conference events will take place during this period, allowing you to focus entirely on discussions and exchanges. Conversations can, of course, continue beyond the 60-minute session.

A dedicated poster board will be provided for each presenter, clearly labeled with the presenter's name to ensure visibility of the contribution. Please mount your poster at least 30 minutes before the start of the poster session, using the provided fastening materials. You may leave your poster up until 5 p.m. on Tuesday. After this time, any posters not removed will be taken down for space reasons.

The content and design of the poster are the responsibility of the presenter. Please ensure that the poster is clearly structured, with both the title of the contribution and the name, as well as the organization or university of the presenter, clearly visible. For the final quality check, we kindly ask all presenters to submit their poster layout as a PDF via email by 6 March 2026.

Presenters are responsible for the creation and printing of their poster. The poster must be completed in printed form by the time of the EMV event and brought to the conference. Please note that the poster must be in A0 format (84.1 cm x 118.9 cm), portrait orientation, and in color.

Information for workshop speakers

Workshop documentation

Each participant will receive the documentation by download link via e-mail in advance of the EMV. This serves as a working basis and reference for the participants.

Attention: Product presentations of any kind are not permitted. In line with this, your documentation should be prepared in a neutral way.

  • For the distribution, we need your documentation as an unprotected PDF file (max. 10 MB).
  • We will forward the documentation you send in to the participants without further correction.
  • We recommend inserting all slides of your presentation into the documentation. You may use our presentation template.
  • Max. 160 slides
  • Consecutive page numbers
  • Use decimal system for structure
  • Embed pictures and graphics in the document
  • Front cover will be produced by Mesago

Presentation on-site

During your workshop, practical and application-oriented contents supplemented by experiments and simulations should be presented.

We strive to guarantee high quality workshops. Therefore, please note that your presentation is designed as training only and that product presentations as well as marketing messages are not permitted.

The duration of your workshop is 2 hours and 45 minutes (plus a 30 minutes coffee break). You decide when to take the break.Please also calculate about 15 minutes for questions and discussions.

You are welcome to use our presentation template. It is already adjusted to the final format 16:9.

All rooms are equipped with a flipchart and projector.
Important: Please bring your own laptop and your presentation. If you need any additional equipment, please send an order to sabrina.esposito@mesago.com by 10 February 2026.

Your participation

In January you will receive an email with registration information. In the course of your registration, you can also sign in for further workshops, the conference and the evening events. Please note that the online registration for your own lecture is compulsory by 3 February 2026 at the latest.

You are expected to hold your presentation in person. In case you are not able to hold your workshop, conference lecture or poster presentation in person we urge you to find an alternative speaker who can act as your substitute. Please inform us immediately via e-mail to sabrina.esposito@mesago.com about any changes.

Please ensure that we have the contact data of the co-speakers (workshops) or co-authors (conference and poster) mentioned in the abstract. They may participate in further workshops or the conference at reduced fees. As soon as the online registration is available, they will receive an email with the relevant registration information.
